Volume 8 · Article #23 Corporate Treasury & Multi-Bank Vaults Inter-Account Contra Transfers & Bank Recon

Corporate Treasury, Multi-Bank Vaults, Statement Reconciliation, Inter-Account Transfers & Banking Studio

Master multi-bank liquidity management in Keystone X: configure cheque accounts, call accounts, credit cards, and petty cash floats; understand Book Balance vs. Available Working Capital (Overdraft Buffers); execute double-entry Inter-Account Transfers without distorting revenue or expenses; reconcile physical bank statements; generate official Bank Confirmation Letters; and customize your Banking Governance Studio.

1. Plain-English Treasury 101: Book Balance, Available Funds & Contra Transfers

Every cent that enters or leaves your business flows through a **Bank Account Vault** (whether that is an FNB/Standard Bank/Nedbank/ABSA Current Account, an Interest-Bearing Call Account, a Corporate Credit Card, or a physical Petty Cash Tin in the office safe). To keep your balance sheet and tax returns 100% accurate, Keystone X enforces three foundational treasury principles:

1. Book Balance vs. Statement Balance

Your Book Balance is the real-time balance calculated by Keystone X from your Opening Balance plus all recorded Customer Receipts and Transfers In, minus all Supplier/Expense Payments and Transfers Out.

Your Statement Balance is the balance printed on your official bank statement on a given date. Comparing the two in the Statement Reconciliation tab immediately highlights unallocated bank charges, debit orders, or uncleared EFTs.

2. Available Working Capital

Cash flow management requires knowing not just what cash is sitting in the account, but how much total liquidity you can deploy before hitting a credit wall:

Available Funds = Book Balance + Overdraft Limit

You can also set a Minimum Liquidity Alert Floor on each account so Keystone X raises a yellow Low Buffer warning before you dip into overdraft.

3. Why Inter-Account Transfers Are NOT Income or Expenses

When you sweep R 50,000 from your Main Cheque Account into your 32-Day Savings Account (or withdraw R 2,000 to top up Petty Cash), your company is not richer or poorer—you simply moved money from your left pocket to your right pocket.

Never record an inter-bank sweep as an Invoice Receipt or Operating Expense! Doing so artificially inflates your Revenue, Expenses, and SARS VAT201 figures. Always use the Inter-Account Transfer engine (`TRF-XXXX`), which credits the Source Bank GL (`1000`) and debits the Destination Bank GL (`1010`) with zero P&L or VAT distortion.

2. Command Center Header & 4 Executive Liquidity KPI Cards

Navigate to Accounting & Banking → Bank Accounts (`BankAccount/index`) to open the Bank Accounts & Liquidity Command Center.

KPI Card Headline Metric Formula Sub-Metrics & Alert Indicators
1. Total Book Liquidity Sum of live current_balance across all active vaults Displays count of Active Accounts vs. Total Accounts. Turns red if aggregate liquidity is negative.
2. Available Working Capital Total Book Balance + Total Approved Overdraft Limits Shows combined Overdraft Lines (`R X`) and either a green Healthy Buffers badge or a yellow X Low Alert badge if any vault is below its `min_balance_alert` floor.
3. 30-Day Cash Velocity 30-Day Inflows − 30-Day Outflows Shows rolling 30-day gross inflows (green down-left arrow) vs. gross outflows (red up-right arrow) across all accounts.
4. Statement Recon & POP 100% Aligned or X Variance Shows the total Rand variance (`Var: R X.XX`) between book and last reconciled statement balances, plus a direct link to the POP Verification Queue (`X POP Pending`).

3. The 4-Mode Treasury Workspace (List, Visual Vaults, Reconciliation & Transfers)

Directly below the KPI strip is the **4-Mode View Switcher** paired with a real-time filter bar (`Search bank, account, code...`, `All Account Types`, and `All Statuses`).

Displays a high-density tabular register of every bank vault with 8 columns:

  • Vault Code & Account Name: Monospace vault code (`BNK-0001`), clickable Account Name, DEFAULT EFT star badge (if set as the primary invoice remittance account), and GL Control Code badge (`GL 1000`).
  • Institution & Branch: Bank Name (e.g., First National Bank (FNB)) and Universal Branch Code (`250655`).
  • Account Number & Type: Account number (automatically masked as ••••••4821 if Mask Account Numbers is enabled in Customize settings) and Account Type badge.
  • Book Balance: Live calculated cashbook balance in bold green (positive) or red (negative/overdrawn), plus a Low Buffer warning if below the minimum liquidity alert floor.
  • Overdraft & Available: Approved overdraft facility and total Available Working Capital.

Renders each bank account as a color-coded executive bank card (using the custom hex `card_color` configured for each institution) displaying the chip icon, masked/full account number, branch code, SWIFT/BIC, live Book Balance, Available Funds progress bar, and 1-click quick actions.

Displays an audit-ready reconciliation matrix comparing every vault's Live ERP Book Balance against its Last Reconciled Statement Balance and Last Reconciled Date, highlighting exact Rand variances and offering a 1-click Reconcile Now button that pre-fills the Statement Reconciliation modal for that specific vault.

Displays the chronological audit log of all inter-vault contra transfers (`TRF-XXXX`), showing Transfer Date, Reference Number, Source Vault (Credited `-`), Destination Vault (Debited `+`), Transfer Method (`EFT / Online Banking`, `Cash Deposit / Withdrawal`, `Internal Sweep`), Notes, Recorded By User, and Amount.

  4. Variance Calculation & Auto-Status:
    • If $|\text{Book Balance} - \text{Statement Balance}| < \text{R } 0.01$, Keystone X marks the vault as Reconciled (100% Aligned) and records your user ID and timestamp in the audit log.
    • If there is a difference (for example, unrecorded monthly bank charges of R 185.00), Keystone X logs the exact Rand variance (`Variance Detected`) so you can either import the missing lines via **CSV Bank Import** (Article #24) or post an Expense / Journal adjustment until the variance reaches `R 0.00`.

7. Recording an Inter-Account Contra Transfer (`recordTransfer` & `InternalTransfer/*`)

You can record an inter-bank transfer either from the **Inter-Account Transfer** modal inside `BankAccount/index` (`BankAccount/recordTransfer`) or via the dedicated **Internal Transfers** page (`InternalTransfer/index` → `InternalTransfer/add`).
